AI Use & Transparency Policy

1. Purpose

This AI Use & Transparency Policy explains how artificial intelligence ("AI") is used within Jade, including AI-enabled features, automated decision-making, and our commitments regarding the handling of personal information and Customer Data.

2. Definitions

  • "AI Features" means features that use machine learning, natural language processing, statistical models, or other automated techniques to generate outputs, classifications, predictions, recommendations, or decisions.
  • "Customer Data" means data submitted by or on behalf of an Organizer.
  • "Personal Information" has the meaning defined in our Privacy Policy and applicable laws.
  • "Website Visitor Data" means information you provide directly to MCI through this website, including the pre-sales assistant described in section 4.3 — for example your work email address, the messages you send it, and any document you upload to it. MCI is the controller of this data.

3. How Jade Uses AI

Depending on configuration and event workflows, AI Features may be used to:

  • validate and normalize data (e.g., deduplication, formatting, field completion suggestions);
  • assist organizer setup, screen navigation, content drafting, and report generation;
  • assist customer support (e.g., identity-aware summaries, suggested responses, and knowledge-base answers);
  • analyze uploaded event, hotel, contract, badge, or business-card materials where configured;
  • provide recommendations or suggested actions (e.g., sessions, housing options, routing suggestions, sourcing actions, or follow-up emails);
  • support participant-agent workflows that collect registration data and hand the user to Jade to complete payment or other browser-only steps.

4. Automated Decision-Making and Impact

Certain Services may involve automated or rule-based processing that can affect Users, such as:

  • approvals or eligibility routing;
  • pricing tiers, discounts, deposits, cancellation policies, or fees when configured by the Organizer;
  • ranking, recommendations, or suggested actions that influence options shown.

AI Features generally assist these workflows by producing drafts, summaries, recommendations, or structured outputs; event configuration and authorized users remain responsible for final rules and decisions unless a separate written agreement says otherwise.

4.1 Human Oversight

Where enabled, Organizers and authorized staff may review, override, or audit automated outcomes. The availability of human oversight depends on configuration and operational processes.

4.2 User Notice

When AI Features or automated workflows materially influence outcomes, Organizers should present appropriate disclosures to Users within event workflows. MCI provides tooling and documentation to support such disclosures where feasible.

4.3 Pre-Sales Assistant on This Website

This website offers an AI assistant that answers questions about what Jade does. It is identified as an AI assistant in the interface, and it draws only on our own published product documentation and sales material — it has no access to any Organizer's, Attendee's or Exhibitor's data.

It cannot make commitments on MCI's behalf. It does not quote prices, contract or payment terms, delivery dates, service-level or uptime figures, certification or audit status, or insurance terms, and nothing it says forms an offer or amends any agreement. For any of those, ask to speak to our team.

To continue a conversation past the first few questions, or to upload a document, we ask for a work email address. We do not verify it. We may share the conversation with our sales team so they can follow up, which is stated in the interface at the point we ask. What we collect and how long we keep it is described in our Privacy Notice; a document you upload is read only to extract its questions and is not stored.

5. Accuracy, Limitations, and Safety

AI Features:

  • may produce inaccurate, incomplete, or biased outputs;
  • may reflect limitations in data quality or context;
  • may not be appropriate for high-stakes decisions without safeguards.

Users remain responsible for verifying AI outputs and making final decisions. AI outputs are not professional advice.

6. Data Use Commitments

6.1 No Training on Customer, Attendee or Website Visitor Data

MCI does not use Customer Data, Attendee/Exhibitor personal data, or Website Visitor Data to train general-purpose AI models.

This applies to the pre-sales assistant described in section 4.3. The conversation and any document you upload to it are sent to our AI provider only to produce your answer, are not used by that provider to train its models, and are not retained by the provider beyond the request.

6.2 Processing for Service Delivery

MCI may process Customer Data and Personal Information using AI Features to provide, secure, and improve the Services consistent with our Privacy Policy and applicable DPA.

6.3 Data Minimization and Access Controls

We design AI Features to limit processing to what is necessary for the intended feature and apply access controls and logging to protect data.

7. Prohibited Uses

You may not use AI Features to:

  • violate law or third-party rights;
  • generate or distribute unlawful, harmful, or deceptive content;
  • make solely automated high-risk determinations (e.g., employment, housing eligibility outside the event context, credit) without appropriate legal authorization and safeguards;
  • attempt to extract confidential or personal data from the system ("prompt injection" or data exfiltration);
  • perform security testing or model extraction without written authorization.

These restrictions are further described in the Acceptable Use Policy.

8. Subprocessors and Vendors

AI Features may rely on approved vendors and infrastructure providers. Subprocessors are described in the Privacy Policy and, for customers under a DPA, in the DPA's subprocessor provisions.

We may update this policy from time to time and will update the "Last Updated" date.
